This is achieved by configuring the 'Hide Utilisation Warnings for Staff Who Do Not Have Privileges to Manage Activities' global setting in System Preferences.

    NDIS Direct Budget Utilisation Warnings are now displayed in Activity records to alert Staff Members when NDIS Support Allocations are associated with NDIS Support Budgets that have less than 5% remaining, as well as if the associated Budget has been over utilised.

    Similarly, Budget Utilisation Warnings also appear in NDIS Direct Client Funding records. Budgets can be configured to 'Hide Utilisation Warnings' in Activities, if required, from the NDIS Direct Client Funding record. In the case of a $0 Budget, Utilisation Warnings are not displayed.

    Utilisation Warnings appear when less than 5% of the Budget remains by default, however, this is a configurable option in System Preferences if a more advanced warning or another percentage is preferred. Configuring this to 0% will ensure that only Budget over utilised warnings will appear.

    When Replication Management Settings are on in an Activity, updates to future Activities in the set are no longer applied when:
    • An Activity Sign Off is removed
    • A Client Support Log is removed, or
    • When a Signed Off Activity is saved

    Both Transitional and New Approach Group Supports can now be Allocated in Activities, in the ‘Preparation Phase’, to assist providers with this transition.

    This change is designed to give providers a wider timeframe to transition NDIS Support Allocations in Activities from Transitional to 'New Approach' Group Supports. Now that Transitional and New Approach Supports can be Allocated in Activities, they can also subsequently be included in BPRs and Invoices in this phase. 

    It is critical that Finance Teams utilise the exclusionary filters to ensure only Supports associated with the relevant approach are included and to control when New Approach Supports are processed.

    The Client Funding Search has been updated to better align with the NDIS Budget Utilisation Report and the Allocations Report, and now allows NDIS Client Funding records to be located by the following additional search criteria:

    A new Help feature is now available via the question mark icon to the top right of each page. The Help window includes links to recommended learning content, as well as a link to Search SupportAbility Knowledge Base Articles or to View SupportAbility Learning Centre Videos. 

    Recommended Learning Content has been mapped for the Client record so far. In coming releases, more will be mapped for the remaining areas of SupportAbility.

    Replicating Activities has been updated to a one-step process and some settings have changed to make this clearer:
    • 'Replication Start Date' can now be selected to determine the start date of the Activity Set. This may be useful when setting up Activities following a holiday period e.g. at the beginning of the new year
    • 'Replication End Date' is no longer preselected and any dates beyond the recurrence limit can no longer be selected
    • A new 'Activity Replication Set' setting replaces the previous 'Replications are related to this activity' check box. The default selection for this setting is to 'Extend Current Set' and can be updated to 'Create a Separate Set' as required
    • The Activity Replications preview now appears immediately on the right-hand side of this window once options have been selected, without the need to click through to view this any longer
    • Validations have been added to inform users of potential issues, such as when the proposed settings will create duplicate Activities within the current set.

    The naming convention of both Direct and Plan Managed BPR CSV files has been updated to ensure they are unique to each provider e.g. bpr22providername.csv

    This update has been released to address errors being encountered when attempting to upload the BPR to the portal due to a file of that name already existing.

    N.B. The provider's name used in the naming convention is the domain prefix from a provider’s SupportAbility installation URL that comes before '.supportability.com.au'. 

    Providers who have since changed their organisation name which is not reflected in their current SupportAbility domain name may wish to review the Change of SupportAbility Installation Domain Name article for reference.

    A new ‘Client Goal Strategy Search’ is now available from the Reports menu. This search allows Staff Members to search for Client Goal Strategies as added to Client Goal records via a range of search criteria.

    It is useful to track Goal Strategy progress and to identify Goal Strategies that have not been linked to any Client Journal evidence ahead of the Target End Date period, for example.

    A detailed export is also available to download from the Actions menu, which contains information pertaining to the Client Goal in addition to the Goal Strategies.

    A new 'Group Supports' filter is now available when generating Direct Invoice Batches.

    Providers who deliver Community and Centre Based Group Supports can use this new filter to exclude New Approach Supports when generating Direct Invoice Batches once transitioned to the New Approach.

    This can be used until all Transitional Support Allocations have been claimed & invoiced, and your organisation is ready to commence claiming & invoicing for Supports associated with the New Approach.

    We recommend providers who deliver Community and Centre Based Group Supports review this article for important information regarding transitioning to the New Approach.

    This new Price Guide includes 14 new Supports, 24 removed Supports, 3 Supports with a changed price and 3 Supports with a changed name.

    The Support Coordination Support Items in Core have also been updated to include blue notification messages explaining the validity period of these Supports, given this has been extended to the 31st of March, 2021.

    Updates to the Staff Hours Report are now available:

    • a new search criterion option of 'Employment/Volunteer Type' has been added

    It is important to note that the last three downloads in the list will be decommissioned in an upcoming upgrade, as they were designed to assist providers with the required templates when transitioning to the NDIS.

    A new modal now appears when adding Site and Service access to Staff Accounts.

    Information messages are now also displayed when 'Administration ALL SERVICES' is selected, explaining that this selection grants access to all Services at that Site, as well as to any specialist Services i.e. Support Coordination or Plan Management (when these Services are available at the chosen Site) e.g. Grants access to all Services available from this Site and includes Plan Management and Support Coordination

    NDIS Budget Utilisation Report 

    A new NDIS Budget Utilisation Report is available from the 'Client Funding' section of the Reports menu.

    This new report allows providers to search for NDIS Support Budgets as configured in NDIS Client Funding records via a range of search criteria.

    It can be used to track NDIS Funding Utilisation holistically and may be used to identify Budgets with low remaining funds or with projections indicating that the funds will be significantly under or over-utilised by the end of the Funding Period.

    When the Roster is Printed or Emailed to Staff Members, new options are available to select from if you would like additional information to be populated as entered in Activity records.

    One or all of the following fields can be selected for inclusion:

    • Replicating Staff Notes, and/or
    • Non-Replicating Staff Notes

    The relevant portion of the Support delivered must now be selected for each Client in the NDIS Support Allocation window of Activities for the required Supports. This automatically apportions the price of this Support and calculates the total value based on this.

    The Support Items that require the relevant portion to be selected are those where the 2020/21 NDIS Price Guide specifies that providers must divide the price of the Support by the number of participants in a group.

    The selected portion is displayed in Client Funding Statements and in the description field of Direct Invoices for reference.

    This upgrade introduces a number of enhancements to Participant Transport and Provider Travel
    • A new configurable List in System Preferences - 'Activity NDIS Support Allocations: Travel & Transport Cost Types'
    • An option to record the relevant 'Cost Type' based on the above configurable List (e.g. standard kms, road tolls, public transport) for any of the following NDIS Support Allocations in Activities - Transport, Activity Based Transport, or Provider Travel Non-Labour Costs 
    • The ability to add 'All kms' for the above NDIS Support Allocations which imports the total Private and Company Kilometres as entered in the Staff section of the Activity into the Quantity field as required
    • When a Travel or Transport Support Item has been Allocated, a badge is displayed in the Clients section of the Activity to reflect this

    Enhancements to the way that Direct Bulk Payment Requests (BPRs) are processed and managed have been included in this upgrade.

    When a BPR is generated, Allocations initially have 'No Claim Status'. The Claim Status of these Allocations can be updated either:

    • automatically in bulk, with the click of a button by Uploading the Bulk Payment Results File (BPRF) downloaded from the myplace provider portal to align both systems (highly recommended as this feature has been developed to simplify finance reconciliation), or
    • manually by selecting a Manual Claim Status of either Accepted (successful) or Rejected (error), only if required.

    Following this, Accepted Allocations will be included automatically when a Direct Invoice Batch is generated and do not need to be selected beforehand.

    Any Rejected Allocations can be processed by choosing to either Retry or Cancel these.

    The Totals section of the BPR has been updated to display the total values according to the relevant Claim Status and the included Allocations can be filtered based on this as required.

    Notes can now be added to selected Allocations in bulk from the Bulk Actions menu, or individually as required. This is handy to document the processing status of Rejected Allocations, for example.

    We recommend that those involved in generating & processing BPRs review the linked articles above as they contain new videos regarding this new functionality.

    As part of this upgrade, only Accepted Allocations can now be included in Direct Invoice Batches to ensure accuracy between SupportAbility, the myplace provider portal and your organisation’s finance system. This aims to greatly simplify the reconciliation process for Agency Managed Supports and make it much more efficient.

    The option to configure your organisation's preferred invoice Format for NDIA Invoices is now available in the Funding tab in System Preferences.

    By default, the invoice format is ‘Separate’ per Client, or Client Funding record, as has always been the case. However, a new option is available to use a ‘Combined’ invoice format as required.

    When the Combined option is configured, a single combined Invoice is created for each Direct Invoice Batch generated from a BPR. This combined Invoice is designed to mimic the Recipient Created Tax Invoice (RCTI) created by the Agency.

    N.B. This format is not suitable for all finance systems, please see the linked article below for more information regarding this.

    We are pleased to introduce a powerful new Allocations Report which has been designed and prioritised based on provider feedback.

    This new report is available from the Finance menu and provides much-needed visibility across NDIS service data, which can be queried in many different ways.

    A new ABN field is now available in all Contact records specifically for organisation's who deliver Plan Management Services so that this information can be recorded for NDIS Service Providers as required.

    This is in anticipation of an NDIS update announced in a recent Provider Newsletter expected on the 25th of October, 2020, where Plan Managers are required to include the Australian Business Number (ABN) of providers when paying for services.

    Please note, ABN is not yet being included in Plan Managed BPRs as the BPR specifications are yet to be updated. More will be announced regarding this in due course.

    The NDIS Support Allocations window in the Activity record has been updated to include two new columns for Staff Members with the 'View Financial Information' privilege:

    • BPR Status - includes the latest Claim Status and a link to the BPR
    • Invoicing - includes the FPM and a link to the Invoice preview and Invoice Batch

    The new category 'Claiming' has been added to NDIS Direct Client Funding Utilisation, specifically for Agency Managed Supports.

    Expenditure moves from 'Planned' to 'Claiming' following the Activity Sign Off being complete to indicate the Allocations are in the BPR claiming process.

    This expenditure moves to 'Used' once Allocations are Accepted and is removed altogether when Rejected Allocations are Cancelled.

    The Client Funding Statement for NDIS Direct Client Funding records now includes a 'Claim in progress' message for Allocations associated with Agency Managed Supports in the Detail section of this report where relevant.

    This is displayed when Allocations have been included in the BPR claiming process but are not yet finalised (used) as these funds have not yet been deducted from the participant's plan.

    A new 'Claim in Progress' (Y/N) column has been added to the Client Funding Statement export to also reflect this.

    • on or after March 30th, 2020, and

    • once the Activity Sign Off has been completed (for any Activities delivered before March 30th that contain Cancelled Supports) to lock in the current Cancellation rate (generally 90%).

    In an effort to respect the separation of concerns required and set the foundations for further enhancements coming soon, the workflow for generating NDIS Bulk Payment Requests (BPR) has been separated for Direct and Plan Management Services.

    Instead of Internal (Direct) and External (Plan Managed) Invoices being available for inclusion in the same BPR file, separate BPR's must be generated:
    - 'Direct Bulk Payment Requests' for all Internal Invoices for NDIA-managed Client Funding, and

    - Establish a new funding record based on the date range specified, complete with all settings such as Budgets and any Custom pricing.

    - End the original funding the day prior to the new funding Start Date.

    According to the current NDIS Price Guide, registered providers are now expected to submit Cancelled Support claims at the full agreed rate rather than the reduced rate of 90%. SupportAbility now allows providers to update the 'Reduced price percentage for cancellations' setting in System Preferences to 100%.

    Configuring this to 100% will have the effect of not reducing the agreed price of the relevant claimed Support/s in the event of a Cancellation in SupportAbility.

    Please be aware that whilst the NDIA state they will pay Cancellation claims at 90% of the agreed claim value, the utilisation in SupportAbility will incorporate the full claim value i.e. will continue to reflect 100% and not 90%.

    We are attempting to get clarification from the NDIA and the NDS regarding the automatic reduction of the value of Cancelled claims to 90% and the implications of this for Plan Managers and Self-managed participants before making any further changes in this area. The NDIS Price Guide Update - July 2019 article is being kept updated in relation to this.

    2017-18 NDIS Price Guide

    With the 2017-18 NDIS Price Guide release, the NDIA have changed the rules in correlation to pricing, stating that pricing must align with current Service Agreements. 

    Some Providers may have Service Agreements in place containing clauses stating that any prices listed in the service agreement are subject to review/change upon the release of a new price guide. The NDS have confirmed that the NDIA will respect such clauses and allow these Providers to charge at the new prices from July 2017. In addition to this the NDS announced that the MyPlace Provider Portal will accept payment requests for supports at 2017-18 price guide price limits against service bookings entered with the older 2016-17 price guide price limits. We have worked with providers to test this, and can confirm that payments requests made at the new limits will be accepted by the portal, even if the service bookings are at the original pricing.

    However from a contractual perspective, Providers must continue to use the original 2016-17 price limits if all of the following are true:

    1. The provider has a service agreement in place with the client that itemises specific support items that specifically reference the original 2016-17 pricing in the document
